2. How We Use Your Information and Our Lawful Basis
Under UK GDPR we must have a lawful basis for using your personal data. We rely on the following:
- Processing your donation, providing receipts, and maintaining donor records — our legitimate interests in administering donations and caring for our supporters.
- Claiming Gift Aid and keeping the associated records — legal obligation (HMRC requirements).
- Keeping financial and accounting records — legal obligation (charity and tax law).
- Sending you updates, newsletters, or appeals about our work — your consent.
- Website analytics and non-essential cookies — your consent.

3. Gift Aid
If you make a Gift Aid declaration, we use the information you provide to claim Gift Aid from HM Revenue & Customs (HMRC) on your eligible donations. We are legally required to keep records of Gift Aid declarations. Please let us know if you change your name or home address, no longer pay sufficient UK Income or Capital Gains Tax, or wish to cancel your declaration.
4. How Long We Keep Your Information
We retain your personal data only for as long as necessary:
- Gift Aid, donation, and financial records — at least 6 years after the end of the relevant tax year, as required by HMRC and charity law.
- Donor and supporter records — for the duration of our relationship with you and a reasonable period afterwards.
- Marketing preferences — until you withdraw consent or opt out.
5. Sharing Your Information
We do not sell or rent your personal data. We share it only where necessary, with:
- Payment processing — Stripe, which securely processes card donations on our behalf.
- Email and productivity services — Google Workspace, used to manage our communications.
- Website and application hosting — Render and Vercel —, which host our donation platform and website.
- HMRC — for Gift Aid claims.
- Professional advisers.
These providers act as our data processors and are bound by agreements to protect your data and use it only as instructed.
International transfers: Our systems are primarily hosted within the European Economic Area. Some providers (such as Stripe) may transfer data outside the UK/EEA; where they do, this is protected by appropriate safeguards such as UK adequacy regulations or standard contractual clauses.
6. Data Security
We take appropriate technical and organisational measures to protect your personal data, including encryption of data in transit, restricted access controls, and secure hosting. However, no method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
